KEY JOB FUNCTIONS :
Responsible for providing general office support to the Mid-America Center (MAC) leadership team while providing exceptional customer service to guests at MAC Information Desk and assisting Box Office operations when necessary.

Greets and assists vendors, guests and employees.
Provides administrative support and performs general office duties for the MAC Leadership team.
Prepares and types correspondence, reports, forms, charts and graphs. Manages Conference Room calendar, MAC PTO Calendar, and MAC Upcoming Events calendar. Monitors regional events and tracks competing venue events.
Responsible for mail service to include: receiving, opening, date stamping, distributing incoming mail; logging all mail sent out (wrap, register, mail as needed); ensuring all outgoing packages meet courier service pick up schedules.
Ensures competency of work from the standpoint of grammar, composition, and format.
Assists with departmental files and records as required.
Places, accepts and screens telephone calls and refers calls to others, as appropriate. Must be familiar with upcoming event schedule and the ability to answer broad questions regarding shows, conventions, conferences and group meetings, etc.
Must be able to operate fax machines, phone system, door system, and photocopiers.
Makes copies for departments as requested in a timely manner according to established quality standards.
Responsible for departmental purchasing, management/inventory of supplies and office equipment, and securing contract requests.
Maintains strict confidentially of all files, communications and information in the conduct of Mid-America Center business.
Logs all checks for deposit for building events and operations.
Responsible for selling and accounting for event tickets including the reconciliation of monies once Box Office closes.
Presents oneself as a credit to Company and encourages others to do the same.
Performs all other related and compatible duties as assigned.
EDUCATION and/or EXPERIENCE:

High school diploma or equivalent required.
One-year experience in office coordination, secretarial or administrative position preferred.
QUALIFICATIONS:

Strong technical ability with a personal computer and appropriate software (Excel, Word, Power Point, Access and Microsoft Outlook).
Ability to prioritize multiple projects and meet strict deadlines.
Ability to accurately type 40 wpm.
Good oral and written communication skills, must be fluent and literate in English.
Ability to respond calmly and make rational decisions in emergency situations with co-workers, clients, guests and vendors.
Capacity to work independently with minimal direction.
Physically mobile with reasonable accommodations including ability to lift up to 50 lbs., and ability to push, pull, reach, bend, twist, stoop, stack, crouch, kneel and balance when stocking, storing and maneuvering around work area.
Knowledge of the event industry a plus.
Ability to uphold and demonstrate the highest level of integrity in all situations and recognize standards required by a regulated business.
WORK ENVIRONMENT :

Must be able to work in areas containing dust, second hand smoke, varying noise and temperature levels, lighting, vibration, crowds and air quality.
Must be able to work in a fast-paced environment.
Must be flexible with schedule, including nights, weekends, and holidays as required.
