Title: Sales & Administrative Assistant
Job Type: This is a full time hourly position. Hours are M-F from 8:30 am to 5:00 pm
Pay range: $15-17/hour

Mission:
We are looking for an organized, energetic team player with strong interpersonal communication skills. The Administrative Assistant is a first point of contact and will welcome guests and greet people who enter the Museum Administrative offices. You will coordinate front-desk activities, answer and redirect phone calls in a professional and courteous manner.
Outcomes:
1. 80% - Daily administrative duties
• Answer all incoming OCM phone calls on multi-line phone system. Provide answers and direct calls to appropriate parties
• Greet and welcome visitors and vendors to the Museum, distribute visitor passes.
• Return all messages within 24 hours
• Provide information regarding Museum events, memberships, exhibits, camps, birthday parties, and other activities
• Receive package deliveries, inventory for departments and distribute
• Maintain copy machine area, supply cabinets and office mailboxes
• Ensure admin office areas (waiting area, conference room)are maintained and welcoming


2. 20% - Provide ongoing support to Group Sales Manager
• Handle in person and phone sales for birthday parties, summer camps, field trips, and outreaches
• Process sales transactions in point of sale system at Reception desk for in-person and over-the-phone transactions
• Assist in sales and renewals of memberships and Welcome Fund memberships as needed
• Perform summer camp and birthday party related support duties

• Highly organized and detail oriented
• Customer service savvy
• Strong emphasis on multi-tasking and flexibility
• Professional phone skills (multi line phone system)
• Dependable, resourceful and consistent
• Ability to adapt to a guest or client’s needs
• Strong typing (45wpm min.) and accurate data entry skills
• Microsoft Office (Outlook, Excel and database) experience necessary
• Effective and efficient communication skills
• Bi lingual Spanish speaking a plus
Education and Experience:
• High school diploma or equivalent required.
Physical Requirements:
• Prolonged periods of sitting at a desk.
• Must be able to lift up to 15 pounds at times.
