Position Summary
The Executive Administrative Assistant provides clerical and administrative services for the District’s President, Senior Vice Presidents, and Board of Directors. This position provides support to the Executive Assistants in the Law Department and President’s Office. This position is responsible for composing and preparing correspondence, compiling reports both routine and on an ad-hoc basis and serving as a point of contact for internal and external inquiries by handling directly or referral to appropriate personnel. The position is responsible for maintaining, updating and issuing departmental and company-wide reports, policies and procedures, supporting the Sr. Vice Presidents as needed, and special projects as assigned. The position is responsible for archiving all documentation and ensuring it is shared with the appropriate internal personnel.
Education
•Required – Associate’s Degree or two (2) years of college-level courses in Business Administration or related field of study. Candidates with significant administrative experience may be considered in lieu of the education requirement.
Minimum Requirements
•Required – Minimum of 5 years of experience in an administrative position providing support to leadership personnel.

Knowledge, Skills and Abilities
•Ability to act independently without detailed direction, the ability to multi-task, maintain strict confidentiality while carrying out duties and meeting established work priorities and deadlines.
•Must have a strong attention for detail and accuracy and have excellent proofreading skills.
•Efficient written and verbal communication skills, in English, to assist internal and external customers, co-workers and management professionally, regardless of provocation.
•Proficiency with personal computers, tablets, and/or other electronic devices to include familiarity with, but not limited to, Microsoft Office Suite (Excel, Outlook, Word) and enterprise wide software (e.g., SAP). (Intermediate proficiency)
•Ability to learn new or upgraded computer software as required.
•Knowledge of SAP’s customer, HR, and financial system to handle responsibilities preferred. Other software packages may be considered if similar. (Entry proficiency)
•Machine skill speed of 50 w.p.m. High degree of accuracy may be given preference.
•Have demonstrated experience preparing and distributing confidential correspondence with deadlines. (Entry proficiency)
•Ability to transcribe meeting minutes accurately and effectively.
•Ability to organize and respond to changing workloads and prioritize work in order to accomplish daily tasks.
•Be cordial and professional in all situations and matters.
•Ability to work closely with senior staff and Board members, communicating effectively on sensitive matters.
•Knowledge of the organizational structure in order to effectively and appropriately answer and direct request and customer calls.
Essential Functions
•Maintain strict confidentiality of information and knowledge obtained through working with the President’s Office.
•Assist with reviewing complaints directed to the Better Business Bureau and the Public Service Commission.
•Maintain and update the District’s procedures and policies manuals to include the District’s Procedure Manual & Personnel Policy Manual (PPM).
•Coordinate with Vice Presidents to publish monthly report for the Board of Directors.
•Act as the liaison for District leadership and Safety division to ensure compliance with internal policies and reported findings.
•Assist with tracking and reporting when corrective actions have been taken due to reported Safety findings.
•Assist with other special project as needed.
•Backup Executive Assistants as needed.
•Assist with a variety of other assistant tasks such as office supply orders and creating purchase order requisitions.

Physical and Environmental Requirements
•Combination: Work may be performed in an office setting amid normal conditions of dust, odors, fumes, office lighting and noises, but field/plant visits are required.
Hybrid Flexible Work Arrangement
Job may be eligible for a hybrid in-office and work from home flexible work arrangement.
