Position Summary:
The Food and Beverage Office Manager is responsible for coordinating the administrative duties of the Food and Beverage Department at Omaha Performing Arts. This position works with the Director and Managers in the Food and Beverage department to ensure the department is well organized, efficient, and set up for financial and operational success. The Food and Beverage Department is responsible for executing over 400 events a year. This position will help the department’s continued growth by creating processes and standards to streamline the administrative duties. The F&B Office Manager will have a focus on both internal and external customer service and ensure the needs of the organization and clients are met in a timely manner.

Position Duties and Responsibilities:
• Performs a variety of clerical and administrative duties as required.
• Help track and maintain a product inventory system.
• Help with product ordering and tracking receipts for financial statements.
• Ensure the Finance Department has receipts, cash deposits and reports in a timely manner.
• Coordinate part time staff scheduling and payroll processing.
• Prepares and reviews invoices for accounts payable.
• Works with various departments on efficient communication as well as building estimates and invoices in a timely manner.
• Uses VenueOps/Momentus Elite to input and output relevant event information.
• Assists with general phone and email correspondence with vendors, clients and staff.
• Help respond to rental inquiries as needed.
• May perform other administrative support duties for the Events and Food and Beverage Departments.
• May be required to perform other duties as assigned.
Minimum Experience and Qualifications:
• Three (3) years’ relevant experience and/or training, or equivalent education and experience.
• Excellent written and verbal communication skills.
• Requires accuracy and attention to detail.
• Must be able to provide great internal and external customer service and operate with a service-driven mindset.
• Must be able to follow instructions.
• Must be able to take initiative and solve problems independently.
• Able to work collectively with others and independently as needed for different projects.
• Able to work in a fast paced and changing environment.
Minimum Education Requirements:
• Possession of a high school diploma or equivalent (GED).
Specialized Knowledge, Licenses, Certifications:
• Microsoft Office Products (Word, Excel, Outlook and Powerpoint)

• None
Physical Demands:
• Ability to lift and/or move objects up to 25 pounds.
• May be required to sit for extended periods of time.

• Telephone, computer, fax, copier and printer.
