Church Receptionist/Office Administrator Position

Salem Baptist Church is a vibrant and welcoming Christian community dedicated to serving God and our local congregation. We are seeking an organized, friendly, and efficient individual to join our team as a Receptionist/Office Administrator to help maintain smooth office operations and create a welcoming environment for visitors, staff, and volunteers.

Job Responsibilities:
· Preparation and Production of weekly bulletin, monthly newsletter and assist with the annual report

· Management of the Church office and records

· Assistance with Financial Operations

· Serving as in-person and telephone receptionist

· Provide administrative support for the Pastor and Church/Ministry Staff

· Manage the scheduling and coordination of the church calendar

Preparation and production of weekly bulletin, monthly newsletter, and annual report

This full-time role is responsible for preparation and production of the weekly bulletin and monthly newsletter, which is an important part of the Church Receptionist/Office Administrator role. The position will work closely with Pastor and Church Staff as well as the Communication Liaison to fulfill these responsibilities. Additionally, the Church Receptionist/Office Administrator coordinates the preparation of the annual report with input from the staff and the committees.

Management of the Church Office and Records includes:
· Perform administrative tasks such as filing, organizing documents, maintaining

inventory and overseeing office supplies

· Receipt and distribution of mail

· Keeping the bulletin boards current, including news of members, birthdays/anniversaries, community events,
church calendar and announcements

· Update and maintain church membership and donation database

· Maintaining membership records, picture boards, and printing

· Overseeing volunteer office workers, including managing the request for volunteers

· Assisting outside vendors – and helping coordinate the scheduling and performance of maintenance and
repairs

Assistance with Financial Operations
· Receiving and distributing bills for verification

· Posting completed payment requests into Breeze Church Management software

· Mailing and filing checks

· Maintaining paid invoice files

· Maintaining petty cash fund

· Maintaining records of memorial gifts, notification and thank you notes

· Generating and distributing financial reports

Serving as in-person and telephone receptionist
The Church Office Administrator is often the first person that members and guests encounter at Salem. The Church Receptionist/Office Administrator is expected to greet people warmly, provide proper assistance when needed, answer questions and provide direction as needed. The Church Receptionist/Office Administrator is responsible for passing along messages to the appropriate individuals when needed. Provide administrative support for Pastor, church staff, members and volunteers. Work with the church staff and committees, develop and maintain the church calendar.

· Comfortable interacting effectively and tactfully with a diverse group of people – in person, over the phone
and in writing.

· Warm, enthusiastic and welcoming to members and guests always presenting a positive and respectful
atmosphere within the office and church environment.

· Ability to work well with others – including members of the staff, congregation, guests and volunteers.

· Demonstrated high level of proficiency in MS Office Suite of Products (Word, Excel, and PowerPoint).
Knowledge – or a willingness to learn Breeze Church

Management Software.

· Excellent organizational skills, accuracy and attention to detail.

· Versatility, flexibility and a willingness to adapt to changing priorities, excellent written communication and
presentation skills.

· Commitment to excellence and high standards.

Position Type and Expected Hours of Work
· This is a full-time position. The work week will include Sunday.

Education and Experience:
· Bachelor’s Degree or equivalent preferred

· Prior administrative or receptionist experience preferred, ideally in a church or nonprofit setting
