Incumbent works under the direction of the Douglas County Clerk/Comptroller or designee, providing assistance in various customer service and recordkeeping functions for the Clerk/Comptroller Office.

Compensation: $22.21/Hour

Essential Functions:
Assist customers obtaining various licenses and filing of official documents, collect and process fees, answer and respond to phone calls and emails, greet/direct visitors, and refer to subject matter expert.
Establish and maintain effective work relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, and the public.
Comply with Civil Service policies and regulations, collective bargaining agreements, County policies, department policies and laws to create a cooperative, safe, respectful and quality work environment.
Operate scanning equipment, indexing and filing documents into records management system.
Verify information (e.g. document entry, image indexes), perform quality control checks, and amend/correct records.
Perform document research in various computer databases and locate documents for employees and the public.
Account for monetary transactions, balance daily, and prepare bank deposits.
Assist the Records Administrator ensuring compliance with record retention processes, schedules, and laws.
Refer inquires or requests outside area of expertise to supervisor or designee.
Perform opening and closing procedures (e.g. cash drawer balancing, reconciliation, deposit preparation).
Maintain Records and Finance Divisions’ databases and ensure information confidentiality.
Assist in annual liquor and tobacco license issuance process.
Research returned checks and obtain correct vendor addresses.
Assist with accounts payable functions.
Provide notary service for licenses and official documents.
Perform clerical activities (e.g. scanning, filing).
Maintain confidential data.
Adhere to federal laws/regulations, state statutes, and office protocols.
Report to work with regular, consistent attendance.
Perform other duties as assigned and directed.

Education and Work Experience and Other Requirements:
High school diploma or equivalent required.*
Two (2) years of customer service or public contact clerical experience required.*
Two (2) years MS Office experience/training required.
Nebraska notary within six (6) months of hire and maintained throughout employment required.
Completion of a pre-employment criminal record check and conditional offer drug screen required.
*Equivalent combination of education and work experience may be substituted for requirements on a year-for-year basis.

Work is generally performed in an office setting. Noise level is usually moderate. Work hours are typically standard day-shift hours; however, schedule may vary (e.g. days, weekends, holidays, overtime/extra hours, emergency call-in). Work may be stressful when dealing with time constraints, multiple/changing priorities, limited resources and or uncooperative/irate individuals.
Work requires some physical activity including extended periods of sitting, standing, frequent walking, reaching, and occasional balancing, kneeling, bending and carrying. Work also requires the ability to frequently lift/carry objects weighing up to 10 pounds and occasionally up to 25 pounds.
Required sensory abilities include vision, hearing and touch. Visual abilities, correctable to normal ranges, include close, distance and color vision, and the ability to adjust focus.
Communication abilities include the ability to talk and hear within normal ranges. Incumbents must possess the hand-eye coordination and manual dexterity necessary to operate computers and other equipment.
