You are:
An outgoing and proactive professional looking to join our administrative team! As the face of our front desk, you’ll play a vital role in shaping the experience of everyone who interacts with APMA, from clients and guests to APMA team members. Your role will be key in nurturing a positive office culture and leaving a lasting impact on those who visit APMA. With confidence, creativity, and compassion, you’ll anticipate the needs of both visitors and staff, ensuring each interaction embodies APMA’s dedication. This full-time, Monday-Friday, in-office position requires occasional flexibility for early morning or evening meetings.

Your role includes:
• Greeting all visitors with professionalism and warmth, ensuring a positive first impression.
• Creating and maintaining a welcoming and enjoyable office environment for clients, guests, and staff.
• Answering and directing phone calls.
• Managing and distributing mail and deliveries.
• Ensuring the office is clean and presentable throughout the day.
• Coordinating the setup and breakdown of conference rooms for meetings and events.
• Assisting with various special projects, research tasks, and other administrative duties as needed.

What you bring:
• Strong verbal and written communication skills.
• Exceptional organizational skills and the ability to manage multiple tasks in a dynamic, fast-paced environment.
• Self-motivated and able to work independently with minimal supervision.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office management tools.
• Prior experience with scheduling, conference room coordination, and general office administration is preferred.
