Salary Range

Hiring Wage is $18.95, this is a Union Position.

Job Function

Provide clerical, data entry, receptionist and office maintenance assistance related to the function of the Public Housing Intake Department and staff of Omaha Housing Authority. Act as the initial OHA representative that greets all residents and others that may visit the Harney Building. Promote compliance with OHA policies and procedures to residents and visitors on a daily basis.

Essential Functions

Receive and greet residents and visitors daily. Frequent contact with all OHA departments especially Property Management and Compliance.
Provide clerical support as assigned, including returned mail.
Familiarize and navigate YARDI computer systems for applicant and resident data and to enter Memos relating to contact with applicants.
Knowledgeable of applicant portal online Rent café system to assist visitors applying in person and/or over the telephone.
Prepare applicant withdrawal letters and update the computer system.
Create new, organize and maintain all Public Housing Intake files. Pull files when selected from the wait list or any other request for files.
Copy all information and add as attachments as needed for Public Housing Intake.
Route correspondence for Public Housing Intake and other departments as needed.
Provide receptionist service for the Harney Building.
Handle incoming telephone calls and respond to inquires request for information.
May assist in accepting and processing new applications from on-line portal.
Prepare withdrawal letters and packets for applicants with failed background checks. Monitor for request for hearings and schedule hearings in required timeline.
Maintain an orderly and clean environment.
Answer routine telephone inquiries concerning operations of the Omaha Housing Authority.

Additional Responsibilities

May assist with special projects.
May work weekend and evening hours.
Other duties as assigned.

Qualifications

High school graduate, or equivalent, with a minimum of three years office experience to include clerical and administrative duties and customer service experience.
Knowledge of the use of a personal computer, Microsoft office products and how to access information on the internet.
Ability to manage multiple tasks and meet deadlines.
Must demonstrate initiative, creativity and problem-solving skills.
Must be able to type with a net accuracy rate of at least forty-five (45) words per minute.
Ability to follow instructions, alphabetize, proofread and organize.
Must have the ability to understand oral and written instructions.
Must have the ability to communicate effectively with diverse personalities, be mature, tactful and professional to provide excellent customer service to clients and visitors.
Ability to work independently to complete assignments with minimum instruction.

Working Conditions

Work is performed in an office setting amid normal conditions of dust, odors, fumes, and noises and involves considerable public contact.

Abilities

Ability to sit, stand and walk up to 100% of the time; and reach stoop, squat, push, pull and type up to 25% of the time.
Ability to move objects weighing up to ten (10) pounds up to 33% of the time.
The noise level in the work environment is usually moderate.
