Position: Courtroom Deputy for an Article III Judge
Vacancy: 24-13
Classification: CL 27
Salary Range: $55,266 – $89,867*
Duty Station: Omaha
Status: Full-time permanent

*Starting salary is set considering human resources policies, qualifications, experience, and applicant’s current salary or federal pay grade.

POSITION OVERVIEW

The courtroom deputy manages a judge’s cases by ensuring that all documents are accurately filed in CM/ECF; by keeping cases moving and deadlines current through monitoring in CM/ECF the filing of pertinent documents and timely responses to judicial orders; and by setting dates and times for hearings, trials, and conferences, as directed by the judge. Keeps the judge, judge’s staff, and team members informed of case progress.

Duties include, but are not limited to, the following:
• Reviews information relating to pending cases to ensure that all records and reference materials are available for the use of the judge and counsel.
• Attends court sessions, conferences, and naturalization ceremonies. Assists with the orderly flow of proceedings, including, but not limited to, setting up the courtroom, assuring the courtroom technology equipment is working properly, assuring presence of all necessary participants, and managing exhibits. Takes notes of proceedings and rulings to prepare minute entries and other associated paperwork, then enters them in CM/ECF. Drafts orders and judgments for the judge’s approval. Operates the digital recording equipment, uploads the digital audio to CM/ECF, and furnishes CDs of court proceedings to parties or a transcriber.
• Manages exhibits and the return of exhibits, including sensitive exhibits.
• Has complete criminal calendar responsibility.
• Assists in jury data entry, check-in, and selection process. Records jurors’ attendance for payment purposes and monitors their service. Answers jurors’ questions.
• Trains counsel and staff on the use of courtroom presentation equipment.
• Assists in reserving the services of interpreters for trials and remote interpreters for hearings.
• Assists in reserving the services of court reporters for court proceedings.
• Prepares statistical reports required by the Administrative Office of the U.S. Courts and other reports required by the court.
• Assists with training court employees on court operations.
• Assists and advises employees on specific tasks and docketing procedures in civil and
criminal cases.
• Answers questions and assists users of CM/ECF. Assists in correcting errors identified in CM/ECF. Advises supervisors when repetitive errors are found.
• Performs case management duties, including, but not limited to, making summary entries in CM/ECF, performing quality assurance checks on electronically filed documents, and opening and closing cases.
• Assists in developing, testing, and revising procedures.
• Opens and distributes mail.
• Assists in retrieving and transmitting documents and files to and from the Federal Records Center.
• Performs other duties as assigned.

QUALIFICATIONS

Qualifications must be met at the time of the application.

Required:
High school graduation or equivalent is required. A bachelor’s degree is preferred. Must possess at least two years of specialized experience. Prior court or legal experience is preferred.

Specialized experience:
Progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry, or report generation. Such experience is commonly encountered in court judicial systems, law firms, legal counsel offices, banking and credit firms, educational institutions, social service organizations, insurance companies, and real estate and title offices.
